Reactive repairs and planned plumbing work

Commercial enquiries can cover leaking pipework, failed taps and washrooms, unreliable hot water, heating problems, drainage issues and alterations during a fit-out. The first conversation identifies the service involved and whether the problem affects one outlet, one tenancy or a shared part of the building.

A local fault may be resolved at the fitting. A loss of supply across several floors may require access to a riser, storage arrangement or incoming main. We do not assume the most visible symptom is the origin. If specialist plant or another contractor is involved, its scope and access requirements need confirming before the work is booked.

When a fault is disrupting the premises now

An active leak, unusable washroom or loss of essential water can affect staff, customers and neighbouring occupiers. Explain whether water is spreading, whether there is contact with electrical equipment and whether the affected area has been taken out of use. Keep people away from contaminated water and unsafe surfaces while professional help is arranged.

A safe temporary isolation and a permanent repair may be separate stages. Isolating a branch can limit damage but may also remove water from other occupiers. The person responsible for the building needs to understand and approve that consequence. Access, shutdowns and authority to proceed

A booked time is only useful if the engineer can reach the relevant equipment. Provide arrangements for loading, parking, keys, security sign-in and access to plantrooms or risers. Tell us about site inductions, permits, escort requirements and any documents that must be approved before attendance.

Agree who can authorise investigative opening, approve additional work and notify affected tenants. For a planned shutdown, define the supply involved, the permitted window and the arrangements for restoring service. Out-of-hours access can be useful, but it should be planned around isolation, noise restrictions and the availability of the people needed to make decisions.

Maintenance based on the building

A useful maintenance plan starts with an inventory of the systems you are responsible for. Recurrent leaks, heavily used washrooms, exposed pipework and neglected service valves create different priorities. Recording each fault and its repair helps reveal whether repeated attendance is addressing the cause or simply replacing the next failing component.

Water hygiene needs its own assessment and controls where applicable. HSE describes duties to assess and control legionella risks; a routine plumbing visit is not automatically a complete water hygiene programme. Tell us if the site has stored water, infrequently used outlets or a period of vacancy so the right scope can be established.

Keep plumbing, gas and electrical responsibilities clear

Commercial plumbing does not automatically include every type of commercial gas appliance or electrical installation. Gas competence must match the work and equipment. HSE’s employer guidance sets out the need for safe maintenance and appropriate competence; do not assume a domestic landlord gas record covers catering equipment or specialist commercial plant.

Likewise, a commercial electrical inspection needs a scope and interval suited to the installation and its use. The residential rented-sector EICR rules should not be copied across to every workplace. When requesting several services, identify each separately so the people attending, isolation arrangements and deliverables can be confirmed.

Reports, quotes and completion

A managing agent needs enough information to make a decision, not just a description saying that something leaks. Ask for the findings, the repair proposed, any access required and the consequences of leaving the fault unresolved. Where opening up is necessary, the proposal should explain what is known and what can only be confirmed afterwards.

For installation work, establish the handover information, making-good responsibilities and any follow-up checks in the agreed scope. Enquire with your site details and priorities. We can then discuss a reactive visit, planned investigation or project survey, without treating an uninspected building as a fixed-price job.

Discuss your permitted access and shutdown windows when enquiring. A 24/7 service does not mean every planned project can be completed immediately; personnel, materials and building permissions still need coordination.
Can you work with our managing agent?
Yes. Provide the site contact, access arrangements and the person authorised to approve work. Clarify whether the fault is within a tenancy or a shared installation before booking.
Will the whole building lose water?
That depends on the available isolation and the location of the work. The investigation or survey should establish whether a local branch can be isolated or a wider shutdown is required.
