A maintenance proposal needs a defined set of properties and systems. An office with shared washrooms, a portfolio of rented flats and a building with communal hot water have different needs. Identify the incoming supply, distribution, fixtures and heating or hot water equipment within the requested scope.

For managed sites, establish where one party’s responsibility ends and another begins. A tenant’s fittings may connect to landlord-controlled pipework or shared plant. Define the planned visit
