Boiler servicing and a landlord gas check: what differs?

A boiler service maintains the appliance in line with its manufacturer’s requirements. A landlord gas safety check examines the relevant gas appliances and flues for the required safety checks and produces a record. They can be arranged together, but booking one does not automatically commission the other.

Two purposes can share one appointment

Think of the booking as two defined pieces of work rather than two interchangeable names. Servicing addresses maintenance of the boiler. A landlord check addresses the applicable gas safety inspection and record. Some observations overlap, but overlap is not proof that the complete requirements of both have been met.

Servicing follows the appliance requirements

The boiler model, maintenance history and manufacturer’s instructions determine the work needed. A service is more than seeing whether heating comes on, but it is not an unlimited repair visit. Defects discovered during maintenance can require additional diagnosis, components or a return appointment. Ask for any extra work to be explained and authorised separately.

A service record should help you understand what was maintained and whether further action is needed. If the engineer cannot complete an essential part because access is blocked, that limitation matters. Keep the findings, not just the payment receipt. The useful question is what was completed on this appliance, rather than whether an invoice happens to use the word annual.

The landlord record has its own timetable

For covered rented accommodation, HSE sets out annual gas safety checks, retaining the record for two years and supplying it to existing tenants within 28 days or new tenants before occupation. Maintenance remains a separate responsibility. Check the HSE guidance for your arrangement, especially shared buildings or mixed residential and business premises.

Build enough time into the booking for access difficulties and any follow-up work. A diary reminder is useful only if it names the responsible person, property and appliances. Managing agents and landlords benefit from agreeing who books the work, receives the documents and authorises repairs. An email forwarded between several inboxes can otherwise leave a defect without an owner.

Read the documents by what they record

A boiler service entry is evidence of recorded maintenance. A landlord gas safety record reports the safety checks and their findings. A commissioning checklist concerns installation setup. A manufacturer guarantee confirmation concerns contractual product cover. Keep them together for convenience, but do not rename them all gas certificates and lose the distinction.

Where a combined visit is arranged, confirm that both the maintenance record and the landlord record will be supplied in the agreed format. Check the address and appliance details when they arrive. If a subsequent repair is required, retain its completion record alongside the original findings rather than discarding the earlier document.

A fault needs more than a change of booking label

If the boiler loses pressure each week, fails intermittently or leaks, describe that when you book. It is not reasonable to assume a routine service fee covers finding every fault in the heating system. Equally, completing a safety check does not automatically repair a noisy pump or restore reliable hot water.

The engineer can separate maintenance due from the investigation needed. This helps plan sufficient time and avoids a tenant expecting a breakdown repair from an appointment arranged only for records. Give examples of when the problem happens, any displayed code and the effect on heating or hot water. Do not remove the casing to collect information.

Access must cover the whole agreed scope

Arrange access to the boiler, relevant controls, meter and the flue areas the engineer needs to examine. If other gas appliances form part of the check, they must be accessible too. Tell us about locked communal cupboards, concealed flue routes or a tenant who needs an agreed appointment window.

Do not dismantle cupboards, open boiler panels or cut inspection holes yourself to prepare. Move ordinary stored belongings where safe and explain fixed obstructions beforehand. A flue inspection problem can require a planned access solution rather than a quick adjustment on the day. Record incomplete work clearly and arrange the necessary next step instead of assuming the visit resolved it.

Plan what happens when the findings need action

Agree a decision-maker before the appointment, especially for managed properties. We explain repair recommendations and the implications for use. Gas work is undertaken by Gas Safe registered engineers with the appropriate competence. If equipment is identified as unsafe, follow the engineer’s instructions and do not reconnect or restart it while waiting for another opinion.

For gas smell, suspected escape, a carbon monoxide alarm or suspected carbon monoxide exposure, leave and call 0800 111 999 from outside. Seek medical help for exposure, calling 999 for severe symptoms. Routine maintenance scheduling is not the response to an active gas or carbon monoxide concern. Once immediate safety is addressed, arrange the necessary repair and retain its record.

Common questions

Can both be completed on the same visit?
Often they can, provided both scopes are booked and access is available. Include all relevant appliances and any existing faults when arranging attendance.
Is a service invoice enough for a landlord?
Do not assume so. The required landlord gas safety record and maintenance record serve different purposes. Request the applicable work and documentation explicitly.
Will a landlord check fix a boiler fault?
A check may reveal a defect, but repair is a separate scope. Report the fault at booking so diagnosis and any authorisation requirements can be planned.
