Boiler service records and installation handover

Keep boiler records that show what was installed, what maintenance was completed and what faults remain. An invoice, commissioning checklist, service entry and landlord gas safety record have different purposes. Organising them helps the next engineer understand the appliance history and gives owners, tenants and managing agents a clearer handover after work.

Create one record for the appliance history

Start with the property address, boiler make, model and identifying details from the accessible label or existing paperwork. Include the installation date where it is known and the installer’s contact details. Record uncertainty honestly if the appliance predates your ownership. A guessed date can mislead later discussions about maintenance or product cover.

Keep paper documents together or use a clearly labelled digital folder that the responsible person can access. Separate records for different properties and appliances. A portfolio folder full of files named boiler certificate is difficult to use when a particular flat has a fault. The aim is a readable history, not a large collection of unrelated attachments.

Understand commissioning information

A warranty confirmation is another separate item. It records the product cover offered under its terms, not a general guarantee that the entire heating system can never develop a fault. Record the controls handover in usable language

Ask for an explanation of the normal heating schedule, room-temperature control and hot-water operation where relevant. Note the location of ordinary user controls and where to find the manual. The handover should suit the occupant; a demonstration to a landlord who lives elsewhere may not help a tenant use the system.

For connected controls, establish account ownership and the transfer process if the property changes hands. Deal with missing records without inventing history

If you buy or take over a property without paperwork, request available records from the seller, landlord, agent or previous installer through the appropriate contact route. Keep a note of what is known and what remains unavailable. Missing records justify clarifying condition and maintenance needs; they do not automatically prove the appliance is unsafe or require a full replacement.

A new professional inspection or service records the work and condition found now. It cannot retrospectively certify every previous alteration or manufacture evidence of an earlier service. Where a particular compliance or warranty question remains, direct it to the party able to resolve that document rather than asking a plumber to guess.

Use the records when booking the next visit

For a fault, summarise the symptom and mention relevant previous findings. For planned maintenance, provide the model and last known service date. Is a service invoice enough evidence of maintenance?
Its usefulness depends on the detail it contains and any requirements you need to meet. Keep the service entry and findings as well as proof of payment. For warranty questions, check the manufacturer’s actual terms.
Can servicing replace a landlord gas safety check?
No. They have different purposes and should be booked explicitly if both are required. Keep the resulting records distinguishable so an agent or tenant can identify the relevant safety-check document.
Should I discard old repair records after replacement?
Retain relevant information about the connected heating system and clearly identify which appliance it concerned. Records of pipework, controls or recurring pressure loss may still help, even after the old boiler has been removed.
